Community Manager Research: Build a Response and Escalation Map
Map community needs, rules and unresolved questions into a response and escalation worksheet. Research public discussions without claiming complete audience coverage.
Community-manager audience research turns observed conversations into appropriate answers, moderation decisions and follow-up questions. Learn the norms of each space, preserve the context of recurring problems and distinguish support needs from product feedback. The practical output is a response map with an owner and an escalation route, rather than a demographic claim inferred from public usernames.
Map spaces and their different purposes
List your owned community alongside relevant public spaces. Record what each exists to discuss, whether you can observe it legitimately and who moderates it. A beginner help forum, advanced practitioner group and announcement channel can discuss the same product while serving very different needs. Do not assume the same people participate in all three.
Use Subreddit / Audience Finder to discover possible rooms, then inspect their current rules and actual threads. Reddit’s search features allow community-scoped search. Community size is not an estimate of your addressable audience, and public research does not grant access to private groups.
Learn participation rules before planning a reply
Read posting rules, pinned resources, recurring question threads and the moderator’s instructions. Reddit’s spam guidance explains that communities can apply their own rules. A useful answer elsewhere can still be inappropriate in a room that prohibits promotion or requires a designated thread.
When your team participates, disclose relevant affiliation and answer the question in the permitted format. Do not turn a research finding into unsolicited direct messages to members. For your owned space, make the support route visible and establish what the community team can resolve without collecting private account information in public.
Community response and escalation map
| Observed need and response | Owner or boundary | |
|---|---|---|
| Repeated onboarding question | Link a verified short answer and the current setup resource | Community team answers; product owner verifies changed steps |
| Account-specific failure | Acknowledge and move to the approved private support route | Support investigates without publishing personal information |
| Feature request | Record context, workaround and the unmet task | Product review; no promise of a release date |
| Unsafe or rule-breaking interaction | Preserve necessary context and apply the published process | Authorized moderation escalation |
| Unanswered discussion | Ask a permitted clarifying question or recruit further research | Research owner; uncertainty remains visible |
Worked example: a volunteer mapping community
A fictional mapping community sees questions about adding a missing path, correcting a duplicate location and logging in. These should not all become “new-user confusion.” The first needs a contribution tutorial, the second a review process and the third a support route. Read the parent post and current documentation before selecting an answer.
Create a response card for duplicate locations: explain how to identify the existing record, link the correct reporting form and identify the reviewer responsible. Do not tell a volunteer to delete an entry without the community’s process. Keep the question URL in the research notes, while removing unnecessary personal identifiers from the shared planning sheet. This invented scenario demonstrates routing, not a measured community intervention.
Keep listening and delivery connected
Review open questions on a defined manual cadence. Record the last check time, sources seen, answers issued and items still unresolved. A saved question is useful as a starting point, but current tracking should not be presented as an automatic comprehensive digest. If the sample changes, separate that access change from a change in community mood.
Measure your owned response process with an explicit unit: unresolved eligible questions, time to an appropriate reply or the number routed to support. A lower complaint count could reflect moderation or reduced participation, not improved satisfaction. Use direct feedback and an authorized follow-up where necessary to learn whether the answer solved the issue.
Turn stable questions into resources
Build an FAQ, recurring welcome post or tutorial only after verifying its answer and rule fit. Ask whether the material reduces repeated work while preserving a route for exceptions. A resource that says “everything is easy” can hide precisely the complication members are asking about. Keep an update owner beside each answer.
Comment Insights can help investigate available themes; Content Idea Generator offers draft directions that still need editing. Continue with comment analysis for coding, audience questions for a retained bank and social listening for wider context. Separate a community response decision from a marketing publishing decision.
Sources and research notes
Reviewed on 11 October 2026 against the linked official documentation and current Superlurk tool descriptions. The procedure and community-specific response and escalation map are editorial guidance. Worked examples, sample counts and decisions are illustrative, not a measured customer study. Frequently asked questions
What should a community manager deliver from research?
A verified answer or appropriate escalation with source context, a responsible owner and unresolved questions.
Can a public community reveal all member demographics?
No. Public participation and usernames do not establish the full audience makeup.
Should every repeated question become a marketing post?
No. Some need support, moderation or product investigation rather than public promotion.
